Registration Procedures

Event registration forms may be submitted by mail, fax, online or walk-in to the regional office offering that specific opportunity. (Registrations submitted to the incorrect regional office may delay registration processing.)

Girls will not be considered for placement prior to 5pm on the registration opening date. This allows all girls registering on the opening date an equal opportunity. Should that event fill on the opening date, there will be an impartial drawing to decide who will attend the event.

After the opening registration date, all registrations will be placed on a first-come, first-served basis according to date received.

Open Dates:

  • Registration for council-sponsored in program opportunities in August-January will open on August 4th, 2008, unless otherwise noted.

  • Registration for council-sponsored in program opportunities in February-May will open on November 17th, 2008, unless otherwise noted.

Close Dates:

  • Council sponsored program opportunities will close two weeks prior to activity date unless otherwise noted.

Refund and Cancellation Policy

A full refund will be given for cancellations by the program provider or if program opportunity is at maximum capacity.

If a troop/individual must cancel, cancellations must be made prior to the registration deadline in order to receive a full refund. Changes or requests for refunds must be submitted in writing to the regional office offering that program opportunity before the registration deadline.

No refunds will be given after the registration deadline with the following exceptions:

  • Weather: If severe weather occurs and in the judgment of the leader it is unsafe, the leader notifies the Girl Scout Center prior to intended departure time, and payment will be credited to another site, date, or event.

  • Illness or Accident: Refundable with a physician’s statement

  • Transfer: If a child moves from the Girl Scouts of Western Ohio jurisdiction a refund will be issued prior to the date of the event.

All refunds requested due to weather, illness, accident, or transfer must be submitted in writing to the regional office offering that opportunity within two weeks following the event date.
